Click a cell to read or manage a nomination. To edit one, open it as the chair.
Linked to the State Chairs Master List
The sheet is read every hour. It decides who holds each seat and everyone's contact details, so make roster changes in the sheet. Seats or contact edits made here are replaced on the next sync. Private links never change.
Paste rows instead (if the sheet link stops working)
In Excel, select the whole tab including the header row, copy, and paste below.
The national finalists are the confirmed section winners. Run the meeting from the national tally board, then record each national winner here.
Exports leave out test entries. Late nominations are included in the state list and marked.
Level:
Nothing is sent until you click Announce all. Each release goes to the media outlets in the nomination, the state chair and the coach (head coach for assistant staffs). Edit any release below, then save it. Releases already sent are skipped. Use Email me a test to see one in your inbox first.

The season at a glance
Now through February 7: keep the State Chairs sheet up to date. Chairs can preview the form but can't save.
Early February: email nomination links to all chairs.
February 8 – April 11 (11:59 p.m. ET): chairs nominate. Watch the Nominations grid and nudge missing states.
April 12: turn on ballots and email ballot links to chairs and section leaders.
By April 18 (11:59 p.m. ET): section voting closes. Confirm each section winner and break ties.
By April 25: run the national meeting on the tally board and record the national winners.
When you're ready: send press releases for state, section and national winners.
Signing in and signing out
Go to nwca-coy-awards.nwca-account.workers.dev/admin.html.
Type the admin password (the same one as the High School All-American awards admin) and click Sign in.
You stay signed in until you close the browser tab. Click Sign out at the top right on a shared computer.
Packets, the national tally board and "Open page" links open in new tabs that carry your sign-in. If one says to sign in first, open it from the admin page instead of a bookmark.
Who's who: state chairs, section leaders and sections
State chairs nominate one coach or staff per award for their state and vote in their section. A boys chair handles only the two boys awards; a girls chair only the two girls awards; a chair listed for both handles all four.
Section leaders vote on all four awards for their own section, and pick the national winners at the national meeting.
Sections follow the NFHS section map (8 sections). Nate breaks any section ties.
Each chair and leader has a private link. No passwords. The link is the key, so they shouldn't forward it.
Updating the roster (the State Chairs sheet)
Make every roster change in the SharePoint workbook, tab 26-27 State Chairs: name, email, phone, address, state and Boys/Girls.
Section leaders are the rows with Section Leader in column C.
The site reads the sheet every hour at 7 minutes past. To pull changes right away, go to Chairs & leaders and click Sync now.
Check the sync message under the button. It lists any rows it skipped (for example, a seat with no email), so fix those in the sheet.
Edits made with the Edit button on this page are replaced at the next sync. Use the sheet.
Private links stay the same when details change, unless the email changes. A new email gets a new link, so resend it.
People removed from the sheet are removed here at the next sync, unless they already submitted a nomination or voted.
If the sheet link ever stops working, open Paste rows instead, copy the whole tab from Excel (with the header row), paste and click Import.
Emailing links to chairs and leaders
Go to Chairs & leaders.
To email everyone: click Email nomination links to all chairs (before February 8), Email ballot links to all chairs (sends to chairs and section leaders once ballots are open) or Email finalist links to section leaders (before the national meeting).
To email one person: click Email link on their row. Click Copy link to paste it into your own email instead.
Emails come from awards@nwcatech.org with replies going to Nate. Ask people to check spam if they don't see it.
Seeing exactly what a chair or leader sees
Go to Chairs & leaders and click Open page ↗ on their row.
A yellow Admin view banner shows at the top. Dates aren't enforced here, so you can fill out forms anytime.
Anything you create in admin view is marked TEST and kept off ballots, exports and press releases. Delete test entries from the Nominations grid when you're done.
How chairs nominate (to walk a chair through it)
The chair opens the link from their email. They see one tile per award they cover.
They click Start nomination, fill out the form and click Save draft anytime to finish later.
Fields with a red * are required. When done, they click Submit nomination. Missing fields are outlined in red and listed.
They get a confirmation email. They can change a submitted nomination until April 11 at 11:59 p.m. ET.
The Media contacts section is where the press release recipients come from, so encourage chairs to fill it in.
Before February 8, the button reads Preview the form: chairs can read every question but not save.
Tracking nominations
Go to Nominations. The grid shows every state (rows, grouped by section) and every award (columns).
Each cell shows Missing, Draft, Submitted or Late, plus the nominee's name. Totals are at the top.
Click a cell to read the full nomination and the chair's contact details.
Fixing a nomination, marking it late, or deleting it
In Nominations, click the cell.
To fix a spelling or detail: click Edit as [chair] ↗, make the change and save. It stays a real (not test) entry because the chair created it.
Late checkbox: nominations submitted after April 11 are marked late automatically. Late nominees are State Coaches of the Year but are not on section ballots. Untick it to let one onto the ballot.
Delete removes the nomination and any votes for it. This can't be undone.
Running section voting
After the April 11 deadline, go to Section voting and tick Ballots are open.
Go to Chairs & leaders and click Email ballot links to all chairs. This also emails the section leaders.
Each chair votes once per award for their gender, for any nominee in their section except their own state. Each section leader votes on all four awards in their section.
Voters can change their vote until April 18 at 11:59 p.m. ET. Then voting closes automatically.
Watch progress on Section voting: each award shows the vote bars, "X of Y voters" and a Not voted yet list to nudge people.
Bio packet ↗ opens a printable packet for that section and award. Use Print or save as PDF to send one.
Confirming section winners and breaking ties
After voting closes, go to Section voting.
For each section and award, tick Section winner next to the nominee with the most votes.
If an award shows Tie: your call, pick the winner yourself and tick them.
The winners you tick become the national finalists. You can change a pick anytime by ticking someone else.
Running the national meeting
Before the meeting: click Email finalist links to section leaders so they can read the finalists' bios.
At the meeting, click National tally board ↗ (top right). Share your screen.
Pick an award tab. Click + / − on each finalist as leaders vote. Keyboard: 1–8 adds a vote for that section, Shift+number subtracts, Tab switches award, C toggles compact view.
Click Record as winner on the winning finalist. Repeat for all four awards.
Vote counts on the board are kept only in that browser; the recorded winner is what's saved. Reset votes clears the counts for the current award.
You can also record or change a national winner on the National & exports tab.
Downloading spreadsheets
Go to National & exports.
Click All state winners, Section winners or National winners to download a CSV that opens in Excel.
Exports leave out test entries. Late nominations are included in the state list and marked.
Sending press releases
Go to Press releases and pick State, Section or National winners.
Click a winner to open their release. It's written from their nomination. Sends to lists the media outlets from the nomination, the state chair and the coach (the head coach, for assistant staffs).
Edit the subject or text if needed and click Save edits. Rebuild from nomination throws away your edits.
Click Email me a test to get a copy marked [TEST] in Nate's inbox.
When ready, click Announce all to send every unsent release at that level, or Send this one for a single winner.
Sent releases show Sent with the date and are skipped next time. Send again resends one on purpose.
Nothing sends on its own. Section and national releases appear only after you confirm those winners.
A winner marked No recipients has no valid emails in the nomination. Add media contacts by editing the nomination as the chair, then come back.
Keep winners private until you send the releases. Read the chair's text in each release for spelling and tone before sending.
Common questions from chairs
"My link doesn't work." Their email may have changed in the sheet, which makes a new link. Find them in Chairs & leaders and click Email link.
"I didn't get the email." Ask them to check spam, or click Copy link and send it from your own email.
"I can only see boys (or girls) awards." That's their seat in the sheet. If they cover both, update the sheet and click Sync now.
"I missed the deadline." They can still submit. The coach is a State Coach of the Year but isn't on the section ballot unless you untick Late.
"I can't change my nomination." After April 11, submitted nominations lock. Make the fix with Edit as [chair].
"I can't see my state on the ballot." Correct: nobody votes for their own state.
